Covid 19 Safety Plan
How will manage any new risks caused by changes to the way you operate your business?
How will you make sure your plan is working?
- PPE and all other safety guidelines are to be in place at all times. If a client refuses to comply with safety guidelines the team member is to leave the photoshoot immediately and report the incident to the office.
- Team members will need to make sure they have all the required equipment prior to any photoshoot as they are no longer permitted to share equipment.
- Team members are to contact the office after each photoshoot and let us know how the shoot went and how they are doing.
What will you do if there is a potential case, or suspected exposure to, COVID-19 at your workplace?
- If a team member is made aware of any person becoming symptomatic they are to notify the Covid-19 Protocol Officer. All individuals involved with the photoshoot will be informed immediately as well as the local Public Health Unit.
- Records of possible exposures will be tracked in case contact tracing is requested by our Public Health Unit.
- If a team member or client is sick or displaying symptoms they are to complete the online self-assessment tool and utilize all recommendations after their assessment is complete. This tool can be found at https://covid-19.ontario.ca/screening/customer/
- If a team member comes into close contact with someone who is known to have COVID-19 they must self-isolate for 14 days after the last day of contact.
- If a team member had COVID-19 symptoms they will need to isolate for 10 days from when the symptoms started. They can return prior to the 10 days if they provide a negative COVID-19 test result, do not have a fever and their symptoms are getting better.
How will you make sure your plan is working?
- The Covid-19 Protocol Officer is to review the safety plan weekly to ensure the plan is compliant with current Covid-19 regulations.
- Team members are to report any challenges that our Safety Plan creates. Each item will be reviewed and the safety plan will be modified accordingly.
- Any time the safety plan is changed or revised the new plan will be sent to all team members. Once it has been reviewed it must be acknowledged and sent back to the Covid-19 Compliance officer.
How will you control the risk of transmission in your workplace?
- Staff are to work remotely whenever possible. All consultations, team meetings, and general meetings are to be conducted over email, phone or zoom.
- Team member’s availability is provided to Fedora Media. This allows us to create a backup plan for each photoshoot if one of our team members is unwell or isolating and is unable to attend their photoshoot.
- The Primary Photographer is responsible for the photo shoot and is the acting COVID-19 Protocol Officer.
- Preventing Transmission
- All shoots will be precisely scheduled ahead of time with health and safety measures in mind.
- All shoots will be done in the shortest amount of time possible.
- All shoots are to be done in event spaces or outdoors to comply with COVID-19 regulations. If working indoors at a private residence the number of people must be limited to comply with COVID-19 regulations.
- Only the photographer and the clients will be permitted at the engagement photo shoot.
- All payments must be contactless and completed prior to any photoshoots.
- Hygiene
- Frequent handwashing is required. Alcohol-based hand sanitizer must be provided by the Primary Photographer and must be easily accessible to everyone at the photoshoot.
- Avoid touching your face at all times.
- Cough and sneeze into your sleeve.
- Consider your phone as another hand and clean it just as frequently.
- Hair and beards should be freshly washed. Long hair should be tied back.
- Physical Distancing
- Physical contact must be avoided whenever possible.
- Personal Protective Equipment (PPE)
- PPE should be worn when possible. This is of the utmost importance when adequate physical distancing is difficult to maintain and when individuals are expected to be in the same enclosed space for a lengthy amount of time. Examples of PPE are

- Face Shields
- Barriers in place where appropriate or possible.

- Equipment
- Equipment is to be cleaned and sanitized after each photo shoot.
- Clients are not permitted to view the display screen on any equipment as this can not be done from 2 meters away.
